Client Intake Specialist

Bernstein Shur, a New England-based law firm that advises clients across the U.S. and around the world, is seeking a Client Intake Specialist to work in its Finance Department in the Portland, Maine office.
POSITION OVERVIEW
The client intake specialist is responsible for all administrative aspects of the client intake process including the performance of the critical task of administering the system used to identify conflicts of interest with potential and prospective clients. The Client Intake Specialist also prepares several bank reconciliations and performs other administrative responsibilities. The position requires a professional and positive attitude with excellent interpersonal and communication skills.
RESPONSIBILITIES INCLUDE
- Initiate conflict of interest database searches using the firm 3E Time and Billing system
- Review and verify that conflict searches are complete and accurate
- Disseminate conflict search reports for review and approval
- Review submitted documentation for completeness and conduct follow-up as appropriate for new clients and matters set up
- Enter and maintain all relevant clients/matters data
- Document approval and declinations of clients/matters
- Respond to inquiries and requests promptly, with courtesy and efficiency
- Other finance department tasks including but not limited to the following:
- Prepare various monthly bank reconciliations
- Manage deposits and disbursements for two corporate affiliates
- Onboard/offboard tasks
- Close and reopen clients/matters
- Update attorney designations for clients/matters
- Update all relevant timekeeper data
- Generating 3E reports such as client and matter lists as requested
- Process declined clients/matters
- Work with cross-functional areas within Finance department to fulfill the business needs of the Firm
DESIRED SKILLS & QUALIFICATIONS
- Associate degree with 2 years of previous experience in finance or law firm is a plus
- Excellent written and verbal communication skills
- Superior people/interpersonal skills
- Keen ability to communicate and collaborate effectively with employees at all levels of the organization and with firm’s clients
- Work discreetly with confidential information
- Must be proactive, accountable and have excellent judgment
- Detail-oriented and able to work in a fast-paced environment while maintaining accurate data input
- Must be adaptable to change and remain calm under pressure
- This position is required to work in the office five days a week
