Trusts and Estates Legal Assistant / Paralegal (Portland, ME)

Bernstein Shur seeks to hire a Trusts and Estates Legal Assistant /Paralegal. This position assists with administration of trusts and estates, including preparation of probate documents, various tax returns, and estate and trust accountings and reports to a group of attorneys. Maintains frequent client contact with respect to such administration. Provides attorneys with all necessary assistance in order to provide economical and efficient services for clients.

  • 50% Legal Assistant and 50% billable Paralegal  
  • Prepare documents to probate will, administer and close estate
  • Prepare estate, gift, individual and fiduciary income tax returns
  • Prepare and maintain estate and trust accounting
  • Attend client meetings and maintain frequent contact for estate and trust administration and accounting purposes
  • Assist clients with or independently manage the transfer, distribution and liquidation of estate and trust assets
  • Maintain original estate planning documents for safe keeping
  • Perform periodic banking transactions
  • Oversee payment of expenses for individual clients, trusts and estates
  • Assist attorneys in case management
  • Develop and maintain working relationship with clients to ensure the expeditious gathering of facts and information necessary to support attorneys’ activities

Requirements:

  • 4+ Years of Experience
  • Paralegal Certificate
  • Accounting Degree or background
  • Candidate must have strong Microsoft Office Word and Excel 2010 skills, the ability to manage multiple projects simultaneously and be a team player.

Help Desk Specialist (Portland, ME)

Bernstein Shur seeks to hire a Help Desk Specialist. This position is responsible for the day-to-day support and troubleshooting of all end-user system related issues. This includes, but is not limited to, Virtual Desktops, PC’s, laptops, and mobile devices. This position requires an individual who has expert knowledge of Microsoft Office, Windows 7, is quick on their feet, a team player, a dynamic and creative troubleshooter, and is customer service oriented.

  • Expert Microsoft Office 2010, including Word, Excel, PowerPoint, as well as Windows 7.
  • 2+ years of experience in an office setting as helpdesk specialist
  • Excellent interpersonal and communication skills required.
  • Must be able to multi-task and work closely with other team members
  • Creative problem solving skills; professional manner for a teamwork environment.
  • Certifications in Microsoft applications and related Help Desk/Technician level competencies are a plus.

Accounting Assistant (Portland, ME)

Bernstein Shur seeks to hire and Accounting Assistant to provide administrative and accounting support to a dynamic financial team. Must be accurate and timely with attention to detail. Excellent follow through; ability to work well with others at all levels; ability to conduct research, ask good questions, work well in a team oriented environment; ability to manage multiple projects within tight deadlines; ability to prioritize and balance competing demands. Strong organization skills and excellent communication skills and ability to maintain confidentiality.

Proficiency with Microsoft Office (Outlook, Word, Excel) and key pad/calculator proficiency.

1-2 years of accounting or legal experience.

  • Undertake routine administrative support procedures as requested by the Accounting Manager and the Compensation & Compliance Manager.
  • Distribute daily mail to Accounting Department members.
  • Scan the daily operating deposits to NSB and reconcile to posting in Elite.
  • Process all daily client disbursement requests.
  • Prepare monthly bank reconciliations for multiple bank accounts to ensure accuracy of cash balances.
  • Print and distribute monthly financial reports from Elite.
  • Process monthly and annual firm statistics and production reports.
  • Maintain taxable fringe benefit spreadsheet for fee credits.
  • Enter and post soft costs in Elite.
  • Post all Portland office IOLTA account deposits (checks and wires) to Elite.
  • Promptly file new Client Trust Ledger Detail report once posted.
  • Responsible for all aspects of accounting for the firm’s subsidiaries.
  • Assist with maintaining and organization of central files.
  • Primary coverage for other Accounting personnel as needed.
  • Promptly report any document, transaction, trend, or information received that appears odd, unusual, inappropriate or suspicious to the Accounting Manager, the Compensation & Compliance Manager or the COO.
  • Other projects and duties as assigned.

Bankruptcy Restructuring and Insolvency – Legal Assistant (Portland, ME)

Bernstein Shur seeks a litigation legal assistant with experience in bankruptcy. This is a highly visible and responsible position reporting to a team of attorneys and paralegals. Must have the ability to juggle more than one project at a time, organization, communication and flexibility are key to this position. Requires knowledge of the law, administrative capabilities and client services skills. This position is an integral part of the practice group and the law firm. This position requires superior Microsoft Office 2010 Word and Excel skills. Knowledge of bankruptcy courts and online filing is helpful.
Must be a team player with the ability to communicate effectively with all employees of the firm. This position requires 4+ years of legal assistant experience.

Commercial Real Estate Paralegal (Portland, ME)

Monument Title Company, a growing subsidiary of Bernstein Shur, is seeking a seasoned commercial real estate paralegal with 8+ years of experience. The successful candidate will join a team of six dynamic paralegals supporting the Real Estate Practice Group, Business Law Practice Group and others  at Bernstein Shur.

Interested candidates should be knowledgeable, energetic and eager to put their experience to work immediately. Must be able to hit the ground running utilizing skills including closing document preparation, title insurance underwriting, survey and lease review, title searches, UCC searches and filings, land use research and due diligence and have the ability to adapt to ever-changing rules and regulations.

This position requires superior computer skills. Experience with Microsoft Office suite, TSS software, document management system and Laser fiche a plus. New Hampshire and/or Massachusetts experience helpful. The Monument Title Company paralegals work as a team and independently on projects and assignments while communicating effectively with co-workers, clients and attorneys. Occasional travel required.
