Marketing & Data Coordinator (Portland, ME)

Work in beautiful downtown Portland for one of Maine’s preeminent law firms!

The Marketing & Data Coordinator is responsible for organizing and executing a wide range of marketing activities and providing administrative support to a three person marketing team. The ideal candidate will possess strong organizational and communication skills and have experience working with CRM data base systems. Reporting to the Marketing Manager the Marketing & Data Coordinator will support the firm’s marketing initiatives. This position will support 100+ attorneys in ME and NH in all practice areas.

Requirements
Assists with activities of the Marketing Department, including:

  • Assist with daily administrative duties as assigned
  • Process invoices, track marketing department expenses and budget management
  • Manage and update the firm’s CRM database, and provide training to staff
  • Coordination of firm’s sponsorship activities and spending
  • Production and inventory of firm marketing materials including print and promotional vendor relationships
  • Presentation support within firm, including PowerPoint and training tips to staff
  • Manage submittal process for attorney ratings in directories and listings
  • Event Coordination for seminars and speaking engagements
  • Execution of client alerts, newsletters and online surveys
  • Other projects and duties as assigned, including website updates and assisting in preparation of proposals and press releases.

 Other Requirements
A marketing or communications degree with a minimum of two+ years of marketing and communications experience

  • Excellent writing, editing and proofreading skills. (familiarity with AP Style is a plus)
  • Strong technical skills, data entry experience and training support
  • Diplomatic communicator with the ability to handle confidential information
  • Highly organized, detail oriented and self-directed with a continuous-improvement mindset
  • Able to connect and work with a broad variety of people
  • Good team player
  • Superior Word, PowerPoint and Excel skills along with familiarity with Word Press, InterAction, Survey Monkey and My Emma is a plus
  • Ability to come in early or stay late along with transportation to and from events
  • Able to multi-task and stay calm in a fast-paced environment

Client Intake Specialist (Portland, ME)

Summary:  This position is primarily responsible for processing all administrative aspects of client intake including conducting potential new client and/or new matter conflict searches.

Physical Requirements: Ability to sit for long periods of time along with extensive computer work, lengthy assignments, and walking required with mobility to move up and down four flights of stairs.  Ability to lift redwells at least 25 pounds.

Requirements:  Positive attitude with excellent interpersonal and communication skills. Detail oriented, timely and accurate data input. Excellent follow through; ability to work well with others at all levels; ability to conduct research, ask good questions, work well in a team oriented environment; ability to manage multiple projects within tight deadlines; ability to prioritize and balance competing demands.  Strong organization skills with the ability to maintain confidentiality.

Proficiency with Microsoft Office (Outlook, Word, Excel) and keypad/calculator.
Prior law firm and Elite experience a plus.
Accounting background helpful.

Summary of Responsibilities:
Carryout the critical task of identifying potential conflicts of interest by performing a series of administrative procedures for potential new clients and matters including:

  • reviewing submitted documentation for completeness & conducting follow up as appropriate;
  • initiating conflict of interest database searches;
  • disseminating conflict of interest search reports to appropriate personnel for review and approval;
  • entering all relevant data into the time and billing system;
  • documenting approval and declinations within the time and billing system;
  • filing compiled documentation;
  • assisting branch locations with procedures outlined above, as needed.

Miscellaneous accounting department tasks including providing back up support and coverage for absences of accounting personnel as needed in addition to the following:

  • closing and reopening cases on Elite (time and billing system) as requested;
  • printing client and matter lists as requested;
  • assisting with maintaining and organization of central files;
  • other projects and duties as assigned.

Scanning Specialist (Portland, ME)

Summary
This position reports to our Service Center Manager and requires 1+ years of experience. This position will be responsible for the scanning of legal documents along with other responsibilities related to a service center. The ideal candidate must enjoy a fast paced environment with the ability to handle a variety of duties. Organization and excellent communication skills are a must and Microsoft Office skills in Outlook, Word and Excel are required. In this position, data entry must be accurate and with speed.  

This position is an integral part of the service center and will assist in the areas mail, copy and document production, file maintenance,  conference room and building appearance and configuration and other duties as assigned.
